Dispatch #006 | Sell Me This Pen

To Sell Is To Be Human (Maybe)

6 Min Read

Coffee is for closers. Well not if you’re a machine.

I spent most of this week on calls with corporate execs, technical architects, and senior ops teams, mapping out how we’re going to deploy AI Assistants as part of an outbound sales process initiative.

It hit me halfway through one of those strategy sessions. This isn’t some futuristic use case anymore. This is the default playbook now.

We’re not pitching AI as a “competitive edge”. It’s just becoming a standard operating procedure.

The conversations have changed. I used to hear, “Should we try AI instead of hiring?”
Now it’s, “How fast can we get this system deployed?”

That shift alone tells you everything you need to know.

Executives aren’t comparing these Assistants to other tools. They’re comparing them to people.

And that math? It’s fucking brutal.

When you’ve got a machine that costs a fraction of a rep and never drops the ball, the old justifications for headcount start to crumble.

The AI doesn’t take PTO. Doesn’t forget leads. Doesn’t “circle back” after ghosting a prospect for 10 days.

Hell, it doesn’t even drink coffee.

Which reminds me—remember Alec Baldwin’s famous “Coffee is for closers” line from Glengarry Glen Ross?

Yeah, well the robots don’t need the caffeine.

And “ABC”? It used to mean Always Be Closing.

Now? It’s Always Be Computing.

I’ve seen it happen in real time.

These AI Assistants ask better questions, handle objections without ego, remember every word of a past conversation, and follow up with timing that would make a Navy SEAL jealous.

Meanwhile while most reps are juggling five tabs, forgetting names, and blaming the CRM for dropped leads.

I’m not saying humans are out. I’m saying mediocre humans are and fast.

A stat popped up this week that stopped me mid-scroll:

That’s not a dip. That’s a culling.

And it’s not because AI is “replacing everyone.” It’s replacing the ones who never learned how to adapt.

The new formula is clear: Human + AI = Unmatched Output

So yeah, coffee might’ve been for closers.

But in 2025? Closers bring their own AI.

Mission Debrief: The $.004 Mistake that Cost Hundreds

We were supporting an agency running a large-scale campaign for one of their clients.

On the surface, it looked solid: Automation dialed in, clean funnel, big list and ready to fire.

But under the hood?

🚨 40,000 web hook calls scheduled per month through a premium service
🚨 No usage monitoring
🚨 No billing structure to charge the client
🚨 A $97/month base plan footing the entire utilization bill

Each web hook call only cost fractions of a penny but multiply that across the entire dataset, and suddenly the agency was unknowingly eating several hundred dollars in platform fees.

Worse? They weren’t charging their client a dime for it.

They didn’t even realize what was happening until one of our Operators on point flagged the usage spike and ran the numbers.

What could’ve been a financial black eye turned into a teachable moment.

What We Did:

✅ Audited web hook usage and utilization billing
✅ Reengineered the automation logic to reduce unnecessary calls
✅ Cut usage volume by over 90% without losing core functionality
✅ Helped the agency implement a client billing model for high-usage accounts

🔥 Tactical Takeaways:

  • Every Automation has a cost and even if it’s hidden

  • Usage-based billing without client attribution produces profit leak

  • Smart logic beats brute force automation every time

Operator Pro Tip:

📌 If you're scaling automation without tracking utilization, you're not growing, you're gambling.

The Rise of the AI Manager

There was a moment this week, about midway through our fifth back-to-back strategy call where I caught myself staring at the screen, thinking this feels eerily familiar.

I’ve been around long enough to remember how businesses used to treat advertising back when I used sell ads for a local television station.

They’d hand a pile of money to some agency, cross their fingers, and hope to see their logo show up in a commercial, billboard, digital banner or if you really splurged, a radio jingle.

Eventually, that model broke.

Google Ads showed up. Facebook. Retargeting. Pixels.

And just like that, marketing stopped being about creative guesses and became a game of management.

You didn’t just hire someone to make ads. You hired someone to run the damn system.

This week, I realized we’re watching the same shift happen with AI.

These companies aren’t just asking us to install tools or set up workflows. They’re asking us to run point.

To manage, maintain, optimize, and deploy.

To lead the machine and not just plug it in.

The titles haven’t caught up yet, but the responsibilities are already here.

We’re acting less like tech implementers and more like AI Managers which is a lean mixture of part strategist, part engineer, part operator.

And it makes sense because these systems aren’t static. They need refinement, testing, and continuous data driven feedback loops.

Someone has to make sure the logic aligns with the offer, the voice matches the brand, and the data gets used to actually improve something.

That’s not something you outsource to a help desk.

That’s boots-on-ground work. Tactical, continuous, and consistently evolving.

And here’s the part I can’t stop thinking about:

I think businesses are going to start pulling money out of their marketing budgets and reallocating it to AI ops to run in conjunction with their ads.

I mean think about it….

Why spend $10K/month chasing cold impressions when you can take let’s say 20% of those dollars and implement a well-trained AI Assistant can follow up with warm leads, book appointments, personalize offers, and collect key buying signals 24/7?

I’m seeing it happen already.

Founders asking, “What if we paused ads for a month on our lowest performing marketing channels and instead used that cash to stand up the right AI system?”

It’s not a crazy question. It’s just a new one.

And I have a feeling a lot more businesses will be asking it by the end of the year.

Operation: SmartRoute

In the beginning days we were sending everyone to the same damn funnel.

High-intent leads. Tire-kickers. Career changers. Everyone.

All dropped into one generic sequence with a polite “We’ll be in touch.”

It wasn’t nurture sequence it was down right negligence.

So we did what we always do when things get sloppy. We built a system.

SmartRoute is our interactive quiz funnel that auto-segments leads based on who they are, what they need, and where they are in the buyer’s journey.

Here’s the Gist
✅ Ask better questions up front
✅ Tag and score leads in real-time
✅ Route them to the right offer, right message, right time
✅ Let automations carry the payload

Instead of wasting operator bandwidth on unqualified leads, we let SmartRoute do the triage.

Hot leads? Straight to a booking page. Curious lurkers? Drop into an evergreen nurture.

Job seekers? Pushed to our BTB Bootcamp track with a personalized explainer sequence.

We built it entirely inside HighLevel using smart forms, workflows, and logic that scales.

🤖 🏥 Microsoft’s Claims their Medical AI System is Better Than Doctors

This week, Microsoft walked into the global AI arms race and tossed a live grenade into the medical tent.

They didn’t just build another chatbot that passed a multiple-choice exam.

They built something that can diagnose medical cases better than real doctors. And not just slightly better, a 85.5% success rate on the most complex cases from the New England Journal of Medicine.

For comparison?

A panel of experienced physicians managed just 20%.

The system is called MAI-DxO (Microsoft AI Diagnostic Orchestrator), and it doesn’t pretend to be one doctor. It simulates a panel of them, each with different specialties, viewpoints, and strategies all working together on the same case.

It asks follow-up questions. It orders only the tests that actually matter.
It stays within budget constraints. It checks its own logic before issuing a diagnosis.

Let that last one sink in: The AI verifies its own thinking before it speaks.

Which is already better than half the people on social media.

But here’s what really matters:

These weren’t coughs and sore throats. These were medical mysteries, the kind that normally take weeks, specialists, and a small fortune to solve.

And MAI-DxO did it faster, better, and cheaper.

With U.S. healthcare spending barreling toward 20% of GDP and up to 25% of that wasted on unnecessary tests and procedures, this isn’t just about accuracy. It’s about economics.

If AI can reduce false positives and wasted diagnostics while increasing precision, we’re not just improving care, we’re cutting billions in fat.

Is it regulated yet? No. Is it production-ready? Not even close.

But the signal’s clear that AI’s not just co-piloting anymore, it’s starting to command the ship.

Run Autopilot – The AI Assistant That Closes While You Sleep

When we talk about AI Assistants booking meetings, following up like clockwork, and never missing a cue, it’s not just some clunky machine running the operation.

There’s a real platform and it’s called Run Autopilot.

This is what we’re using to power the outbound AI sales infrastructure we’ve been deploying for both national brands and local operators.

This isn’t your average “AI CRM.”

It’s built from the ground up to run fully autonomous outbound campaigns: SMS, email, voicemail drops, AI calls, you name it all without sounding like a spammy bot or stalling out after step 3 of a 12-step sequence.

It never sleeps, it never forgets, and it never complains.” - Jared Wigand, Co-Founder of Run Autopilot

Why it’s awesome:

  • Built directly inside HighLevel with no third-party nonsense

  • Trained to sound human, not robotic

  • Instant response time: < 1 second

  • Handles leads, books calls, and closes deals without flinching

It even texts clients to follow up on missed payments or ghosted quotes.

Unlike your old sales rep, Run Autopilot’s AI Assistant actually follows through.
